Processing of personal data

Matters concerning competitiveness, sustainable growth and employment are at the core of the responsibilities of the Ministry of Economic Affairs and Employment. We organise various functions and events in connection with our tasks with the purpose of discussing and collecting information about topical matters. Functions and events can be very different in character. They may be meetings and conferences but also more free-form and casual events.

Persons signing up for functions and events usually themselves submit the data needed for sending the invitations but we may also collect data from public channels and cooperation partners, too. 

What data do we collect on you when you sign up for functions and events?

To be able to send invitations, we need your name, email address and telephone number. Occasionally, we also need information related to your organisation and your job title. Depending on the nature of the function or event, we may ask that you include your postal address and information about any special dietary requirements in your reply.

The participant lists and the contact information of participants of recurring events are stored until the next corresponding event is organised. In accordance with the Government’s information management plan, data on participants of certain events can be retained for ten years or permanently. They include events hosted by ministers or any other functions organised by ministries and regarded as highly important.

If the function includes catering, your name and the name of your potential organisation may also be included in the accounting records we keep. We will remove any mention of possible dietary requirements prior to entering the data into our accounting system. The normal storage period for receipts in accounting six years from the end of the year of the visit.

What is our data processing based on?

We process your personal data based on our task concerning the public interest. 
The tasks of the Ministry of Economic Affairs and Employment are laid down in the following, among others: 

  • Government Decree on the Ministry of Economic Affairs and Employment 
  • Ministry of Economic Affairs and Employment Decree on the Rules of Procedure of the Ministry of Economic Affairs and Employment 

Disclosure and transfer of personal data

The names and employers of the persons participating in the function or event may be published in the list of the function or event participants.

To send invitations, we may transfer your contact information when necessary to any partner organising the function or event, including another ministry or a government agency or institution. In such cases, your contact details will be distributed in compliance with the protective measure requirements laid down in the General Data Protection Regulation. Instead of distributing data on a regular basis, we assess the need for it on a case-by-case basis with due regard to the event or function in question.

When we organise events and send invitations, a third party may sometimes provide an event management tool through which registrations can be submitted. In the context of the event, we use various platforms to run the event or share information. In such cases, we will make sure that the service providers process personal data in accordance with the GDPR.

We may disclose personal data, upon request, in accordance with the Act on the Openness of Government Activities. 

We do not disclose your personal data for direct marketing, market surveys and opinion polls.
